ZAI has an immediate need for a part-time Data Entry Operator I for our Emmitsburg, MD facility.  The principle duties and responsibilities are as follows:

  • Update established databases for pre/post course work various courses.
  • Prepare/Update file folders for each course.
  • Mail letters for pass and certificates (SOIFEMS).
  • Send email to Training Specialist and Project Manager stating that the file is complete and closed (SOIFEMS).
  • Prepare and transmit appropriate coordination and assessment information, as identified
  • As directed package and ship the required instructional kit to the instructor or site.
  • Provided with the schedules of “on-campus” deliveries (including meeting and pilot) for the NFA 2-, 6- and 10 day (including State Weekend Program [SWP] deliveries) and support materials/audiovisuals requirements for these courses, and set up each classroom according to provided classroom requirements and breakout rooms for each “on-campus” course using classroom setup requirement manuals (one for each resident and SWP). Remove all educational materials from at the conclusion of the last day of the meetings/classroom usage. This task must be completed on Sunday afternoon/ evening following each SWP offering.
  • Per schedule given, organize Student Manuals and workbooks and place on tables, place government-furnished supplies of masking tape, marking pens, easel pads, and all course and audiovisual materials (DVDs, etc.) in the classroom. Complete no later than 7:00 p.m. on the day prior to the beginning of the course (on Fridays for SWP courses).Put appropriate inventory sheet on each classroom podium.
  • Receive and respond appropriately to telephone/email inquiries.
  • Monthly perform physical count of the supplies for the SWP and Resident classes is conducted.
  • Changes to directories in “J” and “H” buildings; update directory through a task request.
  • Assist in simulation laboratory for CCNM course as directed.
  • Assist with mailings/emails as directed.
  • Maintain a safe workplace ensuring that he/she is aware of and observes appropriate safety and occupational health rules and regulations. Employee may be required to attend safety training relative to his/her position and report any infractions of safety procedures to the facility Safety Officer.
  • Performs light duties and other related duties as required and assigned.


  • Must have a high school diploma.
  • Must have excellent English, written and interpersonal communication skills.
  • Must possess a friendly, helpful, and customer-service oriented attitude.
  • Typing speed of 35+ wpm required with good accuracy.
  • Must possess a minimum 1 year of experience with computers and database work.
  • Must be able to lift 50 pounds.
  • Must be proficient in Microsoft office programs including MS Word, Access, and Excel.
  • Must be able to successfully complete a background investigation.
  • U.S. citizenship or permanent residency is required.
  • Required Knowledge, Skills and Abilities: knowledge of applicable highly complex office procedures and techniques relating to position.
  • Physical capabilities: work may involve long periods of sitting, standing, and lifting.
  • Work Environment:office environment; may require working evenings and weekends.
  • Must be able to work independently following a brief period of specific technical training.
