The Project Coordinator duties include producing reports, preparing presentations, reviewing documents, basic invoicing, resolving issues, planning team functions, word processing, document preparation, data entry, providing meeting minutes and distribution, as directed by the Project and Team Managers. This position is required to interact closely with Project Managers and project staff and clients to ensure the timely completion of each project.

 

RESPONSIBILITIES

  • Assist in the project opening process, including project file and accounting set-up, and the preparation of project start-up documentation;
  • Support the business line marketing initiatives including coordination of events, sponsorship, advertising, budget tracking, and membership renewals;
  • Maintain database of projects and CV updates for the team;
  • Scheduling any monthly management/marketing/team related meetings;
  • Develop, produce and distribute reports, studies, proposals, and general correspondence;
  • Manage project and program information, including data base and filing;
  • Take notes at project meetings, annotates and finalizes/manages multiple sets of notes;
  • Collaborate with internal staff to ensure completion of projects on a timely basis;
  • Assist the Project Manager to prepare proposals and create project sheets for business development;
  • Provides proactive support to Project Managers;
  • Assist with contract management to assist with project delivery team;
  • Coordinate and update tracking sheets in Excel format with direction from the project team;
  • Set up boardroom for meetings;
  • Send/receive, and sort mail and courier packages;
  • Keep track and order office supplies from Staples (Eway);
  • Electronically file all documents using ShareZone
  • Answer switchboard and greet clients;
  • Other administrative duties as required (including some hard copy filing)
  • Other duties as assigned/required.
 

QUALIFICATIONS

  • College degree in Administration, or all other equivalent training;
  • 3 to 5 years relevant experience as an Administrative Assistant;
  • Functional competencies in project management in the field of engineering consulting will be considered an asset;
  • Proficient on computer software applications (Word, Excel, PowerPoint), competencies in MS Project and Adobe Acrobat will be considered an asset;
  • Ability to multitask, good prioritization time management and organizational skills;
  • Good initiative, attention to detail;
  • Ability to work in a team environment and independently; and
  • Excellent verbal and written communication skills.
