RESPONSIBILITIES

  • Assist with managing an Electronic Document Management System for project delivery. This may include management of permissions for the DMS, depending on the level of experience.
  • Administer the Document Control Policies and Procedures; including but not limited to capturing all correspondence, emails, submittals, transmittals, naming conventions, document workflows, internal audits, records storage, project closeout and turnover.
  • Distribute electronic documents, submittals, transmittals and correspondence to defined recipients.
  • Assist the project team members in collecting, tracking, storing and retrieving documents.
  • Edit documents to meet project standards including naming conventions, formatting and templating.
  • Suggest improvements to the Document Management System or processes. This may include drafting Document Management processes for review and implementation, based on the level of experience.
  • Collaborate with other team members performing work for the Transportation iPMO.
  • Act in a professional and competent manner as a WSP representative at the Client site office.
  • Other duties as assigned/required.

 

QUALIFICATIONS

Minimum:

  • 3-5 years of relevant experience managing documents in a professional environment
  • Understanding of document quality and records retention requirements
  • Advanced user in Microsoft Word, Outlook, SharePoint
  • Excellent communication and organizational skills, both oral and written (English)
  • Willingness to ask questions and clarify assigned duties
  • Excellent attention to detail, able to check documents for basic quality control (numbering, constructive problem solving skills, interpersonal skills
  • Ability to multitask and manage multiple priorities

 

Desired:

  • Intermediate or Advanced level user in ProjectWise
  • Experience with Microsoft Excel, Access
  • Records management designation
  • Experience with ISO standards (9001:2015)
  • Experience in design or construction Industry
