Position Summary:

The Fiscal Support Supervisor is responsible for supervising the activities of fiscal support personnel within an assigned department or program. This position is governed by Generally Accepted Accounting Principles, state and federal laws, and agency/institution policy.

Duties & Responsibilities:

  • Maintaining records of financial transactions and preparing reports on the agency/institution's fiscal status.
  • Monitor student payments for A-State Online in which students are required to pay for courses before classes begin.
  • Send payment reminders and providing invoices upon student request.
  • Send notifications to students when balances occur due to loan adjustments or chargebacks.
  • Process payments for VA students and Third party payments for A-State Online students.
  • Apply tuition waivers for Academic Partnerships promotions.
  • Process late payment fees when students wish to be added back to courses after being dropped for non-payment.
  • Process documentation and approval process for tuition waivers/refunds.
  • Supervise phone system and monitor call logs for inefficiencies
  • Manage Student Accounts backup personnel
  • Deal continuously with the dissonance between a family's perceived need and the help available to the student. To resolve these situations without assistance, the fiscal support supervisor is knowledgeable and authoritative while remaining supportive, calm, and professional even in highly charged circumstances
  • Counsel students and parents regarding education loan options including federal student loans, private student loans, federal parent loans, and other possible sources of funding
  • Advise students regarding a broad range of financial aid rules, regulations, policies and procedures including some U.S. income tax filing rules
  • Performs other duties as assigned

Knowledge/Skills/Abilities:

Must have advanced knowledge of common computer software programs, such as MS Word, Excel, PowerPoint, Outlook, and ability to utilize the internet and shared calendars

Must be able to communicate both in verbal and written form, including forming congruent sentences into professional letters on behalf of staff as well as greeting clients and visitors in a friendly, professional manner

General Days/Hours:

Monday - Friday
8:00 a.m. - 5:00 p.m.
Additional hours as requested and/or needed
Regular and reliable attendance

Other:

Must be dependable, trustworthy, and punctual on a daily basis

Complete assigned tasks within provided time frame

Attend required trainings and other learning opportunities as directed

Strong desire to be a part of a team, continually learn and grow, and take initiative to accomplish assigned tasks and duties

Minimum Qualifications:

The formal education equivalent of an earned Bachelor's Degree in general business, business administration, finance, or a related field

One (1) year of fiscal related experience

Other job related education and/or experience may be substituted for all or parts of these basic requirements, except for certification or licensure requirements, upon approval of the qualifications review committee
