Position Summary:

The Administrative Specialist I works under general supervision and is responsible for examining and verifying documents, preparing routine correspondence, and maintaining files. This position is governed by state and federal laws and agency/institution policy.

Duties & Responsibilities:

  • Reviews, indexes and inputs applications, forms, test scores, processing fees, transcripts and health records for accuracy and completeness of information and compliance with laws and regulations
  • Makes necessary corrections, and assigns file numbers
  • Indexes document records, processes applications, determines applicant eligibility, reviews and processes documents for decisions
  • Meet with applicants about their status
  • Talk with students, parents, high school counselors and others about applicant’s status
  • Attend on-campus events held by our office for recruitment
  • Able to work in a fast-pace environment and adapt to change
  • Other duties as assigned

Knowledge/Skills/Abilities:

Knowledge of record keeping procedures, basic arithmetic, basic grammar, and computers and software applications

Ability to conduct research and compile data into report form, establish and maintain filing systems, operate standard office equipment, analyze documents to determine compliance with rules, regulations, and procedures, and communicate both orally and in writing

General Days/Hours:

Monday - Friday
8:00 a.m. - 5:00 p.m.
Additional hours as requested and/or needed
Regular and reliable attendance

Other:

Process data entry as needed

Minimum Qualifications:

The formal education equivalent of a High School Diploma

Other job related education and/or experience may be substituted for all or parts of these basic requirements, except for certification or licensure requirements, upon approval of the qualifications review committee
