individual and group therapy; and (5) confidential and anonymous HIV testing and counseling services.
 

Job Summary
Processes requests for external medical referrals, obtaining appropriate authorizations and scheduling client
appointments upon completion of referral process. Utilizes the electronic medical record (EMR) system for
appropriate processing and tracking of all referral information.
Primary Essential Duties
 Reviews and processes all medical, diagnostic and specialty referral requests for their designated medical
team
 Collaborates with other Referral Coordinators and supervisor to maintain adequate coverage in order to
ensure referrals are processed and completed in a timely manner
 Obtains authorizations for referrals and schedules appointments as appropriate, ensuring that referrals
are maintained within the appropriate insurance network.
 Provides appropriate authorization information for each referral.
 Builds relationships with providers and insurers, facilitating communication between external parties and
clients as appropriate.
 Enters referral information into the EMR system as appropriate, following all policies and procedures for
proper documentation and maintenance of information.
 Maintains departmental statistics on complete and incomplete referrals, creating appropriate reports as
necessary.
 Track sent referrals to ensure patient kept appointment and all necessary reports are returned
 Assist in the utilization of P2P (Provider-to-Provider electronic network) as necessary
 Maintains a current resource list of community service organizations
 Provides patients with options to receive necessary services from community organizations
 Other duties as assigned.

Knowledge, Skills, and Talents Required
 Written and oral fluency in Spanish required for some positions.
 Proven knowledge of medical terminology and CPT-4/ICD-9 coding.
 Knowledge of standard medical office/clinic procedures.
 General knowledge of healthcare information systems with the ability to quickly learn and adapt to new
electronic medical record, database and report writing applications.
 Ability to maintain client records and information in an accurate, timely and confidential manner.
 Strong organizational skills, including attention to detail and excellent proofreading ability.
 Excellent oral and written communication skills, including the ability to build relationships with outside
providers, insurers and healthcare facilities to facilitate the referral process.
 Ability to communicate in an effective and professional manner with patients and staff members.
 Sensitivity to all areas of diversity, including HIV status, race, ethnicity, ability, age, sexual orientation and
gender identity
A 37.50-hour work week is a general requirement, with a flexibility of schedule – some early morning and late
evening coverage may be required depending on scheduling requirements. This position will be located at
1525.

Education and Experience Required
 High school diploma or equivalent required; Bachelor’s Degree preferred.
 Two years of experience working in a medical environment preferred.
 Experience working with an ethnically, culturally and racially diverse work staff preferred; ability to work
harmoniously with diverse groups of individuals required.
Working Conditions:
Working conditions for this position are normal for an office environment. Individual may be required to
work evenings and / or weekends and organization events.

Physical Demands:
 Lifting: No more than 20 lbs. and infrequently.
 Movement: Standing and sitting for long periods.
 Visual: Long periods on computer.
 Concentration: Extended periods of engagement with computer systems where concentration is key to
accuracy in data entry. Intermittent periods of engagement with a telephone system to respond to
inquiries where concentration is key to task performance.
 Communication: Direct and indirect communication. Written and verbal competency.
