Position Summary:

The Grants Manager is responsible for financial accounting, compliance, and reporting of all public and private grants. Specifically, s/he will ensure that all budgets, expenses, applications, and reporting are accurate and in compliance with state and federal laws and that all grant funded expenses are properly allocated to benefitting programs in the accounting system.


Position Responsibilities:

Budgeting and Reporting

  • Assist in the annual budgeting process including working with the finance team on scenarios and ensuring consistent budgeting assumptions.

  • Develop grant budgets in conjunction with program staff.

  • Allocate grant funding to expenses in the school and network budgets.

  • Create grant spending BVA reports in advance of each board meeting.


Development of Grant Proposals 

  • Lead on the annual completion of all grant applications.

  • Assist in the development of proposal narratives and budgets for federal, state, and private grant applications (such as 21st Century Community Learning Centers, SPDG, and other grant opportunities from private foundations and companies).


Financial Management of Grants

  • Ensure all expenses charged to grant funding are accurately tracked in the financial accounting system.

  • Review grant spending with management, at least quarterly, and create amendments as needed.

  • Request monthly or quarterly grant reimbursements (depending on grant stipulations)

  • Manage fiscal compliance to ensure that expenditures charged to grants match application budgets, with necessary documentation.


Internal and External Audits

  • Conduct mid-year internal audit of grants to ensure financial and legal compliance with all grant stipulations.

  • Conduct a thorough internal audit of grants during the grant closeout process.

  • Complete year end reconciliation of grant expenditures and ensure audit readiness.

  • Liaise with external auditors to ensure they  receive the necessary information and documents to complete the audit. 


Education & Experience

  • Bachelor’s degree in Accounting , Finance, or other related business field

  • Minimum of 1-3 years of experience in government finance, education or non-profit sector

  • Strong knowledge of Circular A-133

  • Experience in the development of federal grants proposals and management of awarded grants

  • Experience in the development of budgets and budget vs. actual tools for management

  • Experience in the Louisiana Department of Education’s  EGMS System

  • Proven track record of clean audits

  • Demonstrated experience in computerized accounting software, preferably Blackbaud Financial Edge

  • Proficiency in Microsoft Excel

Physical Requirements:


  • While performing the duties of this job, the employee may be required to sit, walk, stand, talk, and hear.

  •  Light lifting of equipment may be required (up to 20 lbs.)
